Privacy Policy

This policy explains what personal information we collect, why we collect it, who it is shared with, and how you can have it removed. It is written to be read, not to be survived.

This policy covers The SoulSearching Experience pages at florianrolke.com/the-soulsearching-experience/ and the Sacred Valley Seminars guides at florianrolke.com/sacred-valley-seminars/.

What we collect

We collect only what you choose to send us. If you request an invitation, ask for the free guide, join the seminar waitlist or contact us, that means:

• your name;
• your email address;
• your phone number, if you give it (the guide sign-up asks for it, and you can skip that step);
• anything you write in your message to us.

When you sign up through the form on the Sacred Valley Seminars guides, we also record the page you signed up on, the date and time, the country your connection comes from as reported by our website host (not your exact location), and which of our ads brought you there, if one did.

If you go on to book a retreat, we additionally collect the information needed to run it safely and lawfully — travel dates, emergency contact, and any dietary or health information you tell us. Health information is sensitive, so we ask for it only where it is necessary for your safety, we use it for nothing else, and we delete it after the retreat ends.

Cookies and similar technologies

As of the date at the top of this page, this website sets no cookies. There is no advertising tag on these pages. Two features work without cookies.

• Visit statistics. Cloudflare Web Analytics counts visits and records which pages are read, the country a visit comes from, the referring website, and the device and browser type. It sets no cookies. It doesn’t build a profile of you or follow you to other websites. We see totals, not individuals.
• Your browser’s own storage. On the Sacred Valley Seminars guides, your browser remembers that the sign-up window has already appeared, so you don’t see it again on later visits. If you came from one of our ads, it also remembers which one until you close the tab. This information stays on your device and contains nothing that identifies you.

The request form on The SoulSearching Experience page passes your message to your own email application and sends nothing until you press send. The sign-up form on the Sacred Valley Seminars guides sends us your name and email when you continue past the email step. It sends your phone number if you add it.

A cookie is a small file a website stores in your browser. If we introduce them, we will use them in two categories, and we will treat them differently.

• Strictly necessary. These would make the site work — remembering your cookie choice, and keeping a form submission secure. They store no advertising identifier and cannot be used to follow you across other websites. These are the only ones that would be set without consent, because the site cannot function without them.
• Advertising and measurement. If you consent, we would set cookies that let us measure whether an advertisement led to an enquiry, and show relevant advertising on platforms including Facebook and Instagram. This is the Meta Pixel and comparable tools.

Advertising cookies would only ever be set after you agree. You can decline, and the site works exactly the same. You can change your mind at any time by clearing cookies for this site in your browser, or by writing to us. Before any advertising or measurement cookie is used on this site, this page will be updated with a new date and you will be asked first.

We do not use session recording, mouse tracking, or device fingerprinting. We do not buy contact data, and we do not sell, rent or trade yours.

Fonts and all other assets on this site are served from our own domain, except the visit counter, which loads from Cloudflare, our website host. Reading these pages sends your IP address to nobody except us and Cloudflare.

Why we use it, and on what basis

• To reply to you. If you ask for the invitation or the guide, we use your email and, if you give it, your phone number to send the invitation, call you about the guide, tell you when seminar dates open, and answer your questions. Basis: your request and our legitimate interest in responding.
• To see which pages help people. We use the cookie-free Cloudflare Web Analytics statistics described above. Basis: our legitimate interest in improving the site.
• To run a retreat you have booked. Basis: performing our contract with you.
• To keep you safe on site. Basis: your explicit consent for any health information, which you may withdraw at any time.
• To meet legal and accounting obligations. Basis: legal obligation.

Who else sees it

Your information is handled by Healing Arts E.I.R.L. and by a small number of service providers that make the business function: our email and office software provider, our website host, and our payment processor if you book. They process it on our instructions and for no purpose of their own.

Named service providers:

• Cloudflare: website hosting, delivery, visit statistics, and the small program that receives the guide sign-up form (the domain itself is registered through GoDaddy).
• Google (Gmail and Google Sheets): receiving and answering your email, and keeping guide and waitlist sign-ups in a spreadsheet in our Google Workspace account.
• Payoneer: payment processing, only if you book.
• Meta Platforms Ireland Ltd: advertising measurement, only if and when advertising cookies are enabled on this site, and only with your consent.
• WhatsApp: only if you choose to message us there, under WhatsApp’s own privacy policy.

We disclose personal information to no one else, except where the law requires it.

Advertising and social platforms

We advertise on platforms including Facebook and Instagram. Those advertisements are shown to you by Meta on Meta’s own platforms; this website carries no Meta Pixel and reports nothing back to Meta about your visit.

Should that change, it would work as follows, and only where you have consented to advertising cookies: the Meta Pixel tells us that an enquiry followed an advertisement, and allows Meta to show our advertising to people with similar interests. Meta acts as an independent controller for the data it collects this way, under its own privacy policy, which we do not control.

You can limit this at any time in your Facebook ad preferences, by declining advertising cookies here, or by using your browser’s tracking protection.

International transfers

If and when Meta’s advertising tools are enabled on this site, data collected by them is processed by Meta in the United States and other jurisdictions under Meta’s Standard Contractual Clauses; see Meta’s privacy policy for details. We store our own copies of what you send us with the service providers named above. They may process that information in the United States and other countries.

For California residents

We honour “Do Not Sell or Share My Personal Information” requests. If and when the Meta Pixel is enabled on this site, we will transmit Meta’s Limited Data Use signal for any such request, which restricts Meta to acting as our service provider for that data. Not affiliated with Facebook or Meta

This site is not a part of the Facebook website or Meta Platforms, Inc. Additionally, this site is not endorsed by Facebook in any way. FACEBOOK is a trademark of Meta Platforms, Inc.

How long we keep it

• Inquiries, guide requests and waitlist sign-ups that don’t lead to a booking: deleted within 24 months, or immediately on request.
• Health and dietary information: deleted once the retreat has ended.
• Booking and payment records: retained as long as tax and accounting law requires, then deleted.
• Advertising measurement events (only if and when the Meta Pixel is enabled on this site): retained server-side for 90 days, then deleted.

Your rights

You can ask us to show you what we hold about you, correct it, delete it, or stop using it. You can withdraw consent at any time. You will never be charged for asking, and asking will never affect how you are treated.

To request deletion of your data, email florian@florianrolke.com with the subject “Delete my data”. We will confirm within 30 days.

You also have the right to lodge a complaint with a supervisory authority: in Peru, the Autoridad Nacional de Protección de Datos Personales (ANPD); in the EEA or the UK, your local data protection authority.

Security

Access to personal information is limited to those who need it to do their work, and it is held in access-controlled systems. No system is perfectly secure, and we will not claim otherwise. If a breach ever affects your information, we will tell you.

Children

This retreat is for adults. We do not knowingly collect information from anyone under 18.

Changes to this policy

If this policy changes, the new version will appear on this page with an updated date. Material changes affecting how we use information you have already given us will be sent to you by email.
